The estimate you already wrote.Followed all the way through.

Most quotes are never chased. A structured follow-up sequence, with a human available at every step, recovers work you have already done the expensive part of.

THE SHORT ANSWER

Quote & Estimate Follow-Up in plain terms.

Quote follow-up automation sends structured, timed reminders after an estimate is issued and tracks where each one stands. It is high-return because the costly work (the site visit, the measurement, the pricing) is already done, so a won quote costs almost nothing extra.

  • 01

Quotes are sent and then forgotten unless the customer chases

  • 02

Follow-up depends on memory, so it happens inconsistently or not at all

  • 03

Nobody can say how many outstanding estimates exist or what they are worth

  • 04

The reason a quote was lost is never captured, so pricing never improves

HOW IT WORKS

  1. 01

    Register the quote

Every estimate becomes a tracked record with a value, a date, and a status, not a PDF in a sent-items folder.

  2. 02

    Follow a sequence

Timed check-ins at intervals that suit the job size, written to be useful rather than pushy, and stopping immediately on reply.

  3. 03

    Escalate to a person

Any reply, question, or objection routes to a human. Automation handles the reminder; the negotiation is not automated.

  4. 04

    Close the loop

Won, lost, or expired gets recorded with a reason, which is what makes the pipeline report worth reading.

The guardrails.

Automation that touches customers needs limits built in from the start. These are not optional extras.

  • Sequence stops the moment the customer replies

  • A cap on total follow-ups so it never becomes harassment

  • Quiet hours and consent handling on every channel

  • Values and terms pulled from the real quote, never regenerated by a model

HOW YOU KNOW IT WORKED

What gets measured.

Agreed before launch, so the question of whether it was worth doing has an answer rather than an opinion.

Talk through your setup
  • 01

Outstanding estimate count and total value

  • 02

Quote-to-win rate before and after the sequence

  • 03

Average days from quote to decision

  • 04

    Recorded loss reasons by category

Common questions.

How many times should you follow up on a quote?

Enough to be useful and not so many that it damages the relationship: typically a small number spread over the natural decision window for that job size. The sequence should always stop on reply and have a hard cap.

Should follow-up messages include the price again?

Reference the quote and include a link to it rather than restating figures in message text. Numbers copied between systems drift, and a wrong price in a follow-up is a problem you then own.

Can AI write the follow-up messages?

It can draft them, but anything containing price, scope, or commitment should be approved by a person before sending. The safe pattern is AI-drafted, human-approved.
